Property Maintenance Committee

September 17, 2007

 

 

The meeting of the Property Maintenance Committee conv= ened at 4:05PM by Moderator Bill Sorensen.

Suburban Heating has been contacted to perform annual maintenance on the boilers.

 

Related to reducing our energy cost the Moderator will= meet with Mike Noteboom to discuss various areas where we feel there can be some energy savings, specifically related to lighting.

 

Request from Personnel Committee:  To redirect traffic away from the = open window overlooking Kara’s work area, the Personnel Committee requested that the shelf be removed and replaced with a sliding glass window or door.  Kara obtained a cost es= timate from Interstate Office Interiors of $1,012.20 for the requested sliding gla= ss insert and $681.00 for a solid factory insert.

 

The Property Maintenance Committee reviewed the matter= and suggested an alternative solution.  <= /span>Rather than a costly factory glass insert, J&J Glass quoted $250.00 to provide= a sliding glass panel for the opening.  Upon presenting this to Kara she felt that she would rather leave the space open (without the curtain).

 

While the Property Maintenance Committee agreed with t= hat, we do not feel this is in Kara’s best interest, nor does it comply wi= th the request of Personnel.  Fur= ther, to reduce frequency of interruptions to Kara’s work day, the committee strongly recommends that the volunteer receptionists be instructed to ask visitors as the reach the top of the stairs or exit the elevator “Can I help you?”  This simple greeting will focus the visitor on the receptionist rather than staff members.  During times when th= ere is no volunteer on duty, the administrative staff will have to determine who in the office will greet visitors.

 

The Property Maintenance Committee also recommends tha= t a pedestal sign be placed at the top of the stairs indicating the receptionist location.

 

Concerning the request by Personnel to relocate the volunteer receptionist work area from its present location to the space just outside Wayne’s office, the Property Maintenance Committee felt that with the anticipated security improvements planned, this move was unnecessary at the present time. 

 

There being no further business to come before the Pro= perty Maintenance Committee, we adjourned at 5:00PM.
